Elearning for large Enterprise training initiatives

• 4 min read

Large Enterprise training initiatives come with a specific set of needs. In this post we examine how elearning administrators can best manage a large numbers of learners and structured training paths within an elearning project, and according to large Enterprise requirements.

Managing a large number of LMS users

When facing an elearning project, an elearning administrator or HR manager is always concerned about how to manage a large number of users, say anywhere from 2,000 to 20,000+. There are several ways to manage this number of users with minimal effort. We assume that users are already stored in a corporate database and managed through an ERP or a similar HR software. In this scenario the administrator can proceed by importing the entire user database within the elearning platform using the method that best suits his/her needs. S/he could deploy this task by importing an external file (a .csv) with the list of users or s/he could structure a deep integration between the elearning platform and the HR software.

In both cases the administrator can duplicate the organization of users already used within the elearning platform using the organization chart. Moreover, all the user data fields can be “copied” within the elearning platform to perform fundamental activities such as organizing groups of learners, massive enrolling of users within a course and creating custom reports.

Within Docebo you can manage users using the organization chart, the additional custom fields in the user profile and the ‘groups’. Docebo allows massive import of users from an external source. Docebo has a robust and extensible set of APIs to obtain an integration between the LMS and an ERP or other HR software. Different business requirements can be implemented on demand, e.g. via a custom API module.

Developing a structured training path

Within the corporation, training programs ought to be well designed and structured. Each profession has its own specific training programs to follow, and some programs are designed for the entire workforce (e.g. compliance training). The fundamental need of an elearning administrator is to be able to create training programs within the elearning platform that match corporate training (and development) plans.  This is possible within the elearning platform using catalogues, labels, curricula and training paths. For example, an elearning administrator could create a catalogue of compulsory courses for the entire workforce and different curricula for each profession. Following this logic of course-path design, it’s possible to include new user targets within the elearning platform: external collaborators, suppliers, customers, etc.

Within Docebo you can manage courses using catalogues, labels, curricula and training paths. Docebo allows massive import of courses from an external source. Docebo’s set of APIs allows different types of integrations related to courses between the HR software and the LMS. Different business requirements can be implemented on demand, e.g. via a custom API module.

Creating custom reports

When an elearning administrator manages a large number of users, the ability to build custom reports is crucial. A custom report is the answer to one or more specific inquiries. For example an elearning administrator could check the completion of a specific course by a single group of users, or combine the tracking data of a specific group of users for all the courses they enrolled in. It’s important that the elearning platform not on only allows this task to be performed, but also ensures that all the reports will be available (well stored and organized) on demand, and downloadable in different file formats and/or able to be shared with other systems.

Within Docebo you can use instant ready-made reports or create custom reports to analyze the information you need. Reports are stored within the system and you can generate an updated report at any time. Docebo allows you to share reports for example with other power users. You can export the report in .xls, .csv and .html. Different business requirements can be implemented on demand, e.g. via a custom API module.

Delivering and storing certificates

Each industry has its own regulatory policies about training, nevertheless certificates management is becoming increasingly important. Not only do internal departments need access to training certificates, but also external agencies require that certificates be stored in a system and available for auditing purposes.  To meet these requirements, certificates need to be able to be designed to match specific requirements and fully customizable. In certain cases for example a participant may just need to attend a training, whilst in other cases the participant needs to pass a final exam or test in order to get a certificate. Finally, certificates should be readily available for storing in an external system, for example ERP or CRM, in order to keep the users data field up to date.

Within Docebo you can create custom certificates by adding your layout, texts and fields. Certificates are associated with training activities and are generated under specific rules defined by the administrator. Once a certificate has been generated, it’s available for download by the final user and stored within the system for the administrator. Different business requirements can be implemented on demand, e.g. via a custom API module.

Docebo features meet Enterprise requirements for elearning projects

Docebo has assisted numerous large enterprises in achieving the above goals. Docebo allows each customer to easily manage a large number of users and structured training paths. Tools for certificates management and report creation have a large number of options available to suit any customer requirement. The Docebo APIs module allows Enterprises to enable different integration scenarios between the elearning platform and other corporate systems.
