When you are tasked with deploying a learning management system (LMS) in your organization, like many activities in life, it is essential to determine who will do what. It is a common misconception that the LMS administrator is responsible for all of the activities that happen within the LMS. And if that LMS deployment happens to include extended features, like instructor-led training, coaching, and sharing, it can add to the frustration for the system admin.

Docebo’s LMS tackles this problem by providing very flexible user levels and statuses. As our customers’ training organizations and engagement scale up, users can delegate administrative and content responsibilities to the most relative individuals.

With that, let’s take a look at the different levels of roles and statuses within a Docebo-based LMS.

LMS Administration Levels in Docebo

In terms of administrative levels, we have a number of tiers.

  • Super Administrator: This is the technical “owner” of the platform. This user has access to every setting and feature on the platform, as well as the ability to activate applications and integrations.
  • Power User: The power user is an individual that can manage some users, courses, catalogs or training locations with permissions that are necessary for his/her business tasks. They can even activate seats or buy courses on behalf of the users. There is no need to define granular permissions for each user. Instead the typical profile can be created and reused many times.
  • User: The regular user that can only work within the system in the way that the Super Administrator or Power User has granted them access. These roles are defined on the level of user profile, and in order to manage Power User profiles, respective applications need to be activated.

User Statuses

Depending on user’s state, an individual can fall within one of the following user status categories when it comes to LMS administration:

  • Active: An active user has been activated in the platform and have accessed at least one course or training material component.
  • Activated: These users have access to the platform but have not accessed any courses or training materials
  • Deactivated: Users that are deactivated no longer have access to the platform, for whatever reason.
  • Expired: These users no longer have access to the platform because the Super Administrator has set a specific expiration date for their activated user status.
