Introduction of the Perform Module

The Perform module in Docebo allows employees and managers within a company to evaluate skills, manage roles, and assign specific learning content to people that have skill gaps in specific roles. The Perform module is available for Enterprise clients as an optional feature.

Creating Skills and Skill Categories

To create new skills and manage existing skills, access the Admin Menu, then press the Skills item in the Perform section. On this page, you can view, add, edit and delete new skills. A skill is a measure of the amount of a user’s expertise, specialization, or supervisory capacity.

To add a new skill, press the plus button in the top right corner. There are two ways to add a skill, either by manually creating a new skill or copying a skill from a preset list of skills. To manually create a new skill, select the Add a Skill item.

In the slide out panel, add the skill name and description into the corresponding text fields. Then, select into which area the skill will be placed. An area is a group of skills that are similar. Press the Open item to change the area. When finished, press Confirm.

To copy a skill from a preset of skills, press the plus button in the top right corner of the skills page, then the Add Skill from Preset button from the dropdown menu. Select specific skills from the list in the panel. The skills in this list come from an external service. This service uses the ESCO classification of the European Commission. At the top of the panel, you can select skills from a specific category or occupation by using the corresponding dropdown menus, or you can search for a specific skill using the search bar.

Flag the skill in the list, then press Copy. The skill is now added to your main skills list. To edit the name and description of your skill, hover your mouse over the skill’s row in the list, then press the menu icon at the end of the row. From the dropdown menu, select Edit. In the slideout panel, edit the skill name and description, as desired. Please note that this will not edit the master copy from the list of preset skills. When finished, press Confirm. You will see the new skill name and description in the main list of skills.

Finally, you can group skills by area. To add a new area, press the plus button at the top of the main skills page, then press Add a New Area from the dropdown menu. In the slide out panel, add the area name into the corresponding field, then press Add a New Area.

Importing Skills via CSV

As the Superadmin, you can also import skills into your platform via CSV. On the main Skills page, press the CSV button. For a successful upload, it is important to correctly create a .CSV file. In order to view a correct example, select Download the Sample CSV item in the slideout panel. Once your file is correctly configured, you can drag and drop it into the upload section of the slideout panel, or press the Browse button to find the file.

Please Note: The maximum file size of a CSV file that you’re able to import into your Docebo LMS for a user upload is 3MB. Also, you cannot import skills into an area that does not already exist in the platform. You must create the area first. You must also include the platform’s default language as a column in the CSV.

Once uploaded, press the Advanced Settings title to view the additional settings.

The system is configured to automatically detect the Field Separator, which is needed in order to organize the information by columns. Information can be additionally organized by a comma, a semicolon, or manually, depending on your needs.

Then, flag the option that the first row is considered a Header (only if this fits your CSV file format), and select the File Charset from the dropdown menu. For the File Charset, we recommend UTF-8, which is standard. Please remember to use the quotation marks to delimit the text content. Press Confirm to upload your .CSV file.

On the next page, in the Profiles section, you can select a preset from the dropdown menu to associate a previous mapping configuration to this CSV import. Press the Overwrite Actual Preset button to complete this action. Additionally, you can map the columns to LMS fields (see more below), the save the configuration by pressing the Save this Preset as New button. In the pop up box, provide a name for the preset, then press Save.

The Preview section displays a preview of the CSV file as read by the system. Drag and drop the fields in the Docebo Fields section on the left to match the fields with the column names of your CSV file. Once you’ve matched the fields for all of your columns, review all of the info on the import page, then press the Import button at the bottom of the page.

All new skills imported into the LMS will appear in the list on the main Skills page. In case of upload errors, the system will display a list of the skills that were not imported. If you need to find this log, you can do so from the Background Jobs area of your platform (Admin Menu, Background Jobs item)

Managing Existing Skills

To manage pre-existing skills, access the Skills main page by pressing the Skills item in the Perform section of the Admin Menu. Find the skill in the list of skills. You can filter the skills that appear in the list by pressing the filters icon at the top of the list, clicking Add Filters and defining the filter conditions. Filters are applied automatically as soon as they are selected.

In the skill’s row, hover your mouse over the row, then press the menu icon at the end of the row. From the dropdown menu, you can press the Edit item to edit the name and description of the skill. Press the Delete item to delete the skill from your LMS. Please note that deleting a skill means that it will be removed from all roles to which it currently applies, and users and managers will not be able to evaluate the skill.

You can also assign learning content to a skill, so that users with a gap in the skill can have material readily available to train them. Refer to the next section of this article for more information.

To assign skills to specific roles, find the skill in list on the main Skills page, press the item in the Assigned Roles column in the skill’s row. On the next page, press the plus button at the top of the page to add roles to the skill. In the slide out panel, look for the roles by using the search bar, flag the role(s), then press Assign. The roles will then appear on the skill’s roles page. Press the x icon on the role’s item on the page to unassign the role from the skill.

Assigning Learning Content to Skills

By associating content with skills, users with a gap in this specific skill can see suggested content that applies to the skill, or they can be automatically enrolled or assigned that content. In the skill’s row on the main Skills page, press the icon in the Associated Content column. To add content to the skill, press the plus button at the top of the page.

In the slide out panel, switch between the Courses and Learning Plans tab and the Informal Content tab to select which content you want to assign to the skill. Please note that you can only assign courses, learning plans, and informal assets from the Coach & Share module to skills. You cannot assign specific learning objects to skills.

Once you’ve flagged all of the content that you want to assign to the skill, press Confirm. The content will now appear in the list of content assigned to the skill. You can now flag whether you want to auto enroll or auto suggest each piece course or learning plan to the users to whom this skill has been assigned. This is not a mandatory action.

Please Note: If you select the option to auto enroll users to courses or learning plans, the platform will perform the auto-enrollment at the end of the evaluation process if gaps are detected. However, the user may not be auto-enrolled into a course or learning plan for various reasons, including course visibility rules, course expiration date, or if the course is for sale. If you select the option to auto suggest content for users, users will only see suggestions for courses or learning plans in which they are already enrolled.

Alternatively, you can associate skills to courses upon creating or editing a course. Once you’ve opened the pop up box to create or edit the course, flag the option to associate skills to the course or import skills from another course:

– Add Skills Manually. By flagging this option, you can assign skills one at a time to the course. Using the text box below, type the skill then press Enter on your keyboard. Repeat as desired until you’ve assigned all of skills to the course.

– Import Skills From Another Course. By flagging this option, you can copy all of the skills assigned to another course. In the text field below, type the name of the course from which you want to import the skills.

Once you’ve assigned skills to a course, flag the option to enable rules in the Automatic Rules section below. Then, flag the option to suggest this course to users with skill gaps, or to automatically enroll users with a skill gap into the course. Please adhere to the note above regarding the enrollment and suggestion rules for courses.
