The migration timeline varies based on data complexity and volume, but these are the typical timelines:
- Simple migrations: 4-6 weeks for organizations with less than 500 users
- Standard migrations: 7-12 weeks from contract signature to go-live
- Complex migrations: 12-20 weeks for extensive data sets
- Scoping & Planning: Joint definition of scope and timeline aligned to your launch date.
- Data Migration (ETL): Extract, transform, and load your data into a sandbox environment for validation and UAT.
- Validation: Review and approve sandbox results.
- Cutover: Perform a final delta load and migrate to production on the agreed go-live date.
- User Data: Profiles, custom fields, organizational structure (branches/groups), manager relationships, and applicable roles/permissions.
- Course Content: Course shells, metadata, e-learning materials, ILT sessions, and catalogs.
- Training Materials: SCORM 1.2, SCORM 2004 (3rd/4th edition), xAPI, AICC (where applicable), videos, PDFs, and documents.
- Learning Records: Enrollments, completions, scores/credits, and certifications (files or metadata depending on source system).
- Historical Data: Baseline support for up to 250,000 records and 500 materials; additional volume can be scoped as needed.
Very little. Here’s what to keep in mind:
- If users have partially completed a course, their exact location may not be saved. The course will still show as ‘In progress.’
- Custom assessments may need to be converted to SCORM before migration.
- Power users may need to be re-assigned manually.
Docebo provides comprehensive support throughout and beyond the implementation of its We support you every step of the way. You’ll be assigned a dedicated migration specialist for guidance, a solutions deployment manager, and have weekly check-in meetings to keep everything on track. We also provide templates, guides, a secure file upload environment, and more resources to make things simple.
You choose the support level that makes sense for the complexity of your migration: Essential, Advantage, Premier, or Elite. Complex migrations are handled by our professional services team.
- Secure Transfer: Files are shared via private S3 bucket or secure file transfer.
- Processing: Import, metadata mapping, and content packaging as needed.
- Thumbnails: Optimized (typically 600×400) where applicable.
- Validation: Testing in sandbox to resolve broken links, missing assets, or player issues before production.
We perform three steps to validate data:
- Template and automated checks for field-level and referential integrity.
- Sandbox validation and UAT to confirm record accuracy, reporting, and permissions.
- Final delta load prior to cutover to ensure data is up to date.
You can migrate with no downtime. Here’s how it works:
- Your current system remains active during the migration process
- We coordinate data transfer between your systems. There may be a short blackout period for final synching.
- Domain switching: We launch your new platform on your old domain for uninterrupted learning.
