In this changelog, you will find a list of minor changes to your platform as they were released weekly for Docebo 6.9.

Updates for Power Users Searching for Certificates

When Power Users are searching for certificates, they are only able to see editable fields in certificates if they have the View and Edit permissions for certificates. If they only have the View permission for certificates, the Power User is only able to see searchable fields, not editable fields.

Character Limit for Additional Fields

The character limit for the free text additional field and the text additional field has been changed to 256 characters.

Order of Learning Plans in List

When a Superadmin has finished creating a new learning plan, the new plan will appear at the top of the list on the main Learning Plans page.

Errors when Attempting to Access Webinar Sessions

If a user is unable to access a webinar session due to an error from the webinar service provider, the LMS will now display a more detailed error message. By pressing the More Details item in the main message, a pop up box appears, providing additional details about the error.

Pushing Objects from the CLOR to Courses

You can now only select and push up to 10 learning objects at a time when pushing multiple learning objects to courses from the Central Learning Object Repository (CLOR).

Additional Fields for External Training

Additional fields for external training will now appear alphabetically in the corresponding dropdown menu.

Update to the [order_items] Shortcode

For those using the [order_items] shortcode in notifications, the shortcode in the notification will now display both the course name and the learning plan name when a user purchases a course within a learning plan.

Power User Permission Update

Now, Power Users with the View Certificates permission will see certificates for users that are assigned to a course or learning plan managed by them. If this option is not checked, the Power User will see the aforementioned certificates as well as certificates that have not yet been issued to users, even if they are not associated with a course or learning plan managed by the Power User.

Enrolling Expired Users into Courses or Learning Plans

Now, when trying to enroll groups or branches into courses or learning plans, expired users in said groups or branches will not be enrolled into the courses.

Updates to Importing External Training via CSV

Please note the following updates when importing external training activity into your platform via CSV:

  • You can no longer import external training activity with an empty date. Training activity in your CSV file must have a date associated with it.
  • If the Require users to select training institute and courses from defined list option is flagged in your platform and you attempt to import external training activity (via CSV) including a course or institute that is not in said list, you will receive an error.

Incompatible Browser Pages

Now, if you’re using a browser that is incompatible with the LMS, you will be redirected to an error page prompting you to update your browser, rather than accessing the LMS.

Changed Message when Deactivating Docebo Subscription

If you are deactivating your subscription to your Docebo LMS, the wording of the confirmation has changed for clarity.

Displaying the Average Course Time to End Users

When you set the average course time in a course’s Advanced Settings area, the time will now be displayed to end users in hours, minutes, and seconds. A value for days will no longer appear to end users.

Links for Assets

When a user that is not logged into his or her LMS uses the link of an asset to access said asset, he or she will now be redirected to the asset’s page once logged into the platform.

New Power User Permission

A new Power User permission has been added to the LMS. As a Superadmin creating or editing a Power User profile, you can now flag the permission to grant Power Users the ability to see all user additional fields marked as invisible. This permission allows Power Users to see invisible user additional fields when creating or editing users, in reports, and in a user personal summary in the LMS.

Updates to Additional Fields for Power Users Creating Reports

For Power Users creating reports, invisible user additional fields can no longer be included in reports. Please note that this does not affect reports that have already been created by a Power User.

Coins for Gamification

For those using the Rewards Marketplace for the Gamification module, coins will not be taken from a user if the badge that rewarded the point (thus, rewarded the related coins) is taken from the user. The coins will remain for the user.

Copy Link Button for Coach & Share Assets

The new Copy Link button on an asset’s page allows users to quickly copy the asset’s page link so it  can be sent directly to other users. Upon opening this link, a user will land on the asset’s page. The user trying to open the link will receive an error if he or she is not assigned to the channel in which the asset is published. Please note that this button is only found in the Docebo 6.9 theme, not in the Docebo 7.0 theme.

Auto-Enrollment for Learning Plans

For users that are enrolled in a learning plan, they will automatically be enrolled into any new courses that a Superadmin adds to the learning plan in said learning plan is free or if the user has purchased the entire learning plan (when the User must buy the full learning plan option is activated).

Slides Learning Objects Pushed from the CLOR to Courses

When pushing slides learning objects from the Central Repository (CLOR) to courses, the learning objects will now have the lightbox as the default playing mode.

Security Improvements

Improvements have been implemented to further protect and secure passwords in the platform.

Update for Superadmin Statuses in Webinar Courses

Superadmins entering a Webinar course in which they are not enrolled will no longer have their statuses marked as Attended upon entering the course. Instead, the status will not change for the Superadmin.

Conversion Errors in the Central Repository

While uploading and converting a video in the Central Learning Object Repository (CLOR), the status of the conversion will be changed from In Progress to an error status if the conversion is taking longer than 12 hours.

Update to the LMS to Align with Current AICC Standard Learning Object Documentation

The LMS can now accept an AICC Standard learning object with a system_vendor value of up to 255 characters.

Setting Email Domain Restrictions for Multidomain Clients

When defining which email domains can self register for multidomain clients, you can now click your mouse outside of the Restrict Domains text field (in the Self Registration tab of the client’s Settings page) when you’ve finished adding a domain into the text field in order to add the domain. You can also still press Enter or your keyboard or type a comma into the text field to add the domain. Press Save Changes when you’re finished.

Keep Alive Functionality for HTML Page Learning Objects

The keep alive functionality has been added for HTML Page learning objects.

New Short Code for Learning Plan Notifications

For notifications regarding learning plans in your LMS, two new short codes indicating the learning plan’s beginning and expiration dates can be added to the text body of the notification: [learningplan_user_validity_start] and  [learningplan_user_validity_end].

New Option for Timeline in Video Learning Objects

When creating or editing a video learning object either within a course or within the CLOR, you have the option to allow or not allow users to drag ahead in the video using the timeline on the video player. Additionally, you can now allow them to drag through using the timeline after they have completed the learning object (thus, they can drag through when watching it for a second time).

Video Conversions in the Central Repository

For those uploading and converting video files as learning objects directly in the Central Learning Object Repository (CLOR), you no longer need to refresh your page to see a flag in the object’s row in the CLOR list. Flags determine whether the video converted successfully into the platform or not. A green check mark will indicate that the conversion was successful, while a red flag will indicate that the conversion was not successful.

These flags will now appear in real time, rather than your platform displaying a spinner icon until you refresh the page.

SAML Integration: Time Discrepancy Between Servers Changed

For those logging into the platform using the SAML integration, the time window allowed for time discrepancy between servers has been lengthened to two minutes before and two minutes after.

Tax Support for Stripe

For those using the Stripe payment gateway in Docebo, your platform now allows you to configure tax settings. Please refer to the Stripe article in Docebo’s Knowledge Base to learn more.

Redirection for Deep Links after Password Changes

When a user uses a deep link to access a specific course in the LMS, he or she will now be redirected directly to the deep link location if he or she has been prompted to change their password after authentication.

Certifications for ILT Classroom Courses

If a user needs to update a certification for an ILT Classroom course, he or she now has the option to select a new session, rather than only being allowed to select the old session that he or she previously attended.

Menu Change for Content Marketplace

In your Admin menu, the Marketplace item has been changed to Content Marketplace. When you press this item, you will be redirected to Docebo’s Content Marketplace.

New Option for SAML Settings and SAML Security Enhancements

For those using SAML 2.0/Microsoft ADFS or OKTA for SSO in their Docebo platforms, you can now flag an option to select which encryption algorithm (SHA-1 vs SHA-256) to use to validate IDP. For new configurations, the default value will be SHA-256. If you already have a valid configuration in your platform, the default value will be SHA-1.

You will find this option on the settings page for OKTA, SAML and SAML 2.0/Microsoft ADFS, as well as in the SAML 2.0 tab when editing the settings for specific Multidomain clients (for those using the Multidomain app).

Improvements to SAML security have also been implemented in your platforms.

Auto-population of Groups for Salesforce Configuration

Docebo’s integration with Salesforce now supports auto-populating groups, meaning that when you sync your Salesforce users or contacts in your LMS, they will auto-populate into groups (if you have set up auto-populating groups in your platforms) using the additional fields that you set during the configuration process.

Updates to PayPal Integration

If you’re using the PayPal integration for Docebo’s E-Commerce module, your Docebo platform now supports the latest PayPal updates and standards.

Sorting of ILT Classroom Attendance Sheet Columns

If you are creating an attendance sheet for an ILT classroom course using custom columns, the first field selected for the attendance sheet will be the sorting field, and sorting will be in ascending order. Please note that ascending order is only possible for standard default fields of your LMS: username, first name, last name, email and language. Custom fields that you’ve created will not be ordered alphabetically.

Update to Power User Permissions

Power Users will the permission to view users can now export a list of users assigned to them via CSV or XLS.

If you have activated the Course Info widget inside of a course, the widget will now display the first and last name of users, rather than the username.

Course Properties Button

In the extended course menu, there is now a Course Properties item. When you press this item, you will be redirected to a pop up box, where you can edit the course name, thumbnail, description, or code. To access the extended course menu, scroll your mouse over the course management item in the menu bar on the left side of the page.

Spinners in Test Player

If you are experiencing a slow Internet connection, you will now see a spinner in your platform’s test player when you press a button and the action is still in progress. That way, you know there is no need to repeat the action.

Course Additional Fields Dropdown Menu

Additional fields for E-Learning, Webinar and ILT Classroom courses will now appear in alphabetical order in the corresponding dropdown menu. Course additional fields appear inside a catalog of courses or in a Course Description widget. Please refer to this article to learn more about managing course additional fields.

User Additional Field Dropdown Menu

If you, as the Superadmin, have created user additional fields for users to select for their profiles during the self-registration process, the dropdown menu will now display a blank field as the default field. By adding this field, users must select one of the additional fields that you created from the dropdown menu (rather than skipping the step by using the first option in the dropdown menu) before continuing with the self-registration process.

New Functionality for Users – Learning Plans Report

For Users – Learning Plans reports, you can now filter by users that have completed the learning plan.

User Self-Unenrollment from Webinar or ILT Sessions

For ILT Classroom and Webinar sessions, Superadmins can now flag the option to only allow users to self-unenroll from these sessions if the course has been completed. You will find this option in the Details tab of the course’s Advanced Settings menu.

When this option is flagged, users can self-unenroll in a session once they have completed the course. If you do not flag this option, then a user cannot self-unenroll himself or herself once he or she has completed the course.

Subdomains for docebosaas Domains

For those using a docebosaas domain, you can no longer create a subdomain of this domain.

Coach & Share Updates

Two new improvements have been implemented for Docebo’s Coach & Share Module:

  • Coach & Share assets can now have multi-word tags (e.g. Customer Success Training or Global Management), making the search function more accurate. This is possible when a user is publishing or editing an asset, or when a an Expert is answering a user’s question with an asset.
  • There is a new option in a user’s management menu for a user’s personal Coach & Share channel. If you’re on the main User Management page in your platform, find the user in the list of users on the bottom half of the page, then press the menu icon at the end of the row. From the dropdown menu, select the User Channel item. You will then be redirected to the user’s personal channel page. Please note that you will only see this option if you have Coach & Share active in your LMS.

Course Equivalencies Option

You can now mark courses as equivalent to one another, thus allowing a user to complete all courses (in which they are enrolled) that are equivalent to each other when they complete one of the matched courses. For example, if Course A is set as an equivalent to Course B and Course C, then once a user completed Course A, he or she will automatically be marked as having completed Course B and Course C as well. The user will not need to manually go back to complete Course B and Course C later. Please note that for Course B and Course C, the learning object statuses (not yet started, in progress, or complete) will not change, and the user will not receive a final score for these courses.

Emails for Extra Users

If you have gone over your maximum active user limit in your LMS, you will now only receive one email, instead of receiving an email for each time a new user becomes active in your platform.

Days of Validity for Courses & Learning Plans

For those configuring the Days of Validity option in the Time Options tab for a course or learning plan’s Advanced Settings for either courses or learning plans, there are now two different options for counting the number of days:

  • After First Course Access. The number of days are calculated from the first time a user accesses the course or learning plan. For learning plans, this means a user’s first access for any course inside the learning plan. This is the default setting for pre-existing courses in your LMS.
  • After Being Enrolled in the Course. The number of days are calculated at the time of the user’s enrollment, not after the user’s first access of the course or learning plan. If a user is waiting to be approved into a course or learning plan (due to a pending E-Commerce payment or waiting for Admin approval), the validity period starts from the date of the approved enrollment. This is the default setting for pre-existing learning plans in your LMS. If you flag this option, along with the option to also update all enrollments expiration dates where users already started this course, then your LMS will perform a massive expiration date recalculation based on enrollment dates, rather than the first course access date.

If you have flagged the option to set the validity date After Being Enrolled in the Course, the option to Also update all enrollments expiration dates where users already started this course will be changed to Also update all enrollments expiration dates for users already enrolled in this course.

Superadmins Deleting Comments in the Comments Widget

If the comments widget is active in a course, Superadmins now have the ability to delete both comments and replies to comments.

Test Feedback Displayed on Test Information Page

If a user needs to see his or her test feedback after completing a test, he or she can now see it at the bottom of the test’s information page when the user accesses the test learning object in a course. You can refer to this manual to learn more about providing test feedback to your users.

TinCan learning objects are now supported for AWSChina.

Deleting a Certification

If you delete a certification or a course, the corresponding certification is not deleted from a user’s activities.

Notification Updates

Three new notifications regarded tests (and an associated short code for these notifications) have been added to the LMS:

  • User completed or failed a test in a course. Triggers when a user submits a test learning object in a course of any type and the test is immediately marked as completed or failed (no questions that need evaluation, such as the extended text or upload file question type).
  • User submitted a test and evaluation is needed. Triggers when a user submits a test learning object in a course of any type and the test needs evaluation from an instructor. This means that the test contains question types (extended text or upload file) that require instructor evaluation.
  • Instructor evaluated test questionTriggers when the instructor of a course evaluates an extended text or upload file test question in a user’s test.
  • [test_results] Short Code. This short code extracts the HTML of the test results of a user and embeds it in a table in the notification text body. This can be used in all the new notifications regarding tests.

Power User Permissions Updates

Power User‘s with the permission to CREATE or EDIT webinar sessions can now add recordings from completed webinar sessions into the sessions assigned to them.

Waiting List Enrollments for Classroom and Webinar Sessions

If a user is trying to self-enroll or if a Power User is trying to enroll a user into a session of an ILT or Webinar course and the session has reached the maximum quota of seats available, then the user will only be placed on the session waiting list if a session was selected during the enrollment process. Otherwise, the user will be placed on the course waiting list.

New Coach & Share KPIs in Dashboards

If the Coach & Share module is active in your platform, you will see a new Coach & Share Overview section on end user dashboards and Admin Dashboards. Power Users with the permission to view Admin dashboards will also see this section. This new section will be viewed by the different user levels as follows:

  • Admin Dashboards. The Coach & Share Overview section of the Admin Dashboard will display a summary line chart of questions asked, answers given, assets viewed, and assets shared. You can see the statistics with a daily and weekly timeframe. You will also see two boxes displaying the top three best contributors in your platform, as well as the top three most watched assets.
  • End User Dashboards. In the Statistics Tab of the My Activities area for end users, they will see the Coach & Share Overview section. The first chart will display a chart comparing questions made verses answers given by the user within a yearly timeframe. Then, there is a line chart displaying the number of assets viewed and assets shared by the user within a specific timeframe. Finally, there is a box displaying the top three most viewed assets in a weekly timeframe.
  • Power User Dashboards. The Coach & Share Overview section of the Admin Dashboard can be viewed by Power Users that have permission to view the Admin Dashboard. Please note that the statistics in this section will only include users that are assigned to the Power User profile. This section will display a summary line chart of questions asked, answers given, assets viewed, and assets shared. You can see the statistics with a daily and weekly timeframe. You will also see two boxes displaying the top three best contributors in your platform, as well as the top three most watched assets.

Coach & Share Minor Updates

The following improvements have been implemented to Docebo’s Coach & Share Module:

  • Asset descriptions are now included in the global search of the platform.
  • If the Multidomain app and the Coach & Share module are both active in your LMS, then a user must assign a channel to a question when creating the question.

Power User Permissions Update

The following updates have been made to Power User permissions:

  • A Power User with only the View Reports permission will be able to see all public reports, user personal summary reports and course summary reports limited to their assigned users and courses. Please note that if the report contains a clickable link to a page of which the Power User does not have access to view, an error message will appear, alerting the Power User that he or she does not have access to view that page.
  • A Power User with the Course Edit permissions can now select which version of a learning object from the Central Repository can be placed into a course of which they have permission to edit. They can also manage the learning object settings for the learning object. All of this editing will be done inside the course.

Updates to SAML 2.0 Endpoints

Docebo now has  SAML 2.0 metadata without the query string part available, thus making it acceptable by OpenSAML.

Video Learning Object URLs

If you try to upload a new learning object using a URL from YouTube, Vimeo, or Wistia, you will receive an error message and cannot complete the upload process if you use an invalid link.

Assigning Branches to Multidomain Clients

You can now only assign one multidomain client to a user branch in your LMS. Multiple multidomain clients cannot be added to a single branch. If you try to add a multidomain client to a branch that already has an assigned client, you will receive an error message.

Course Catalogs for Auto-Populated Groups

For course catalogs that are assigned to automatically-populated groups, the catalogs will now be automatically assigned to a user when he or she manually fills in the additional fields in his or her user profile. Once these additional fields are saved in the user profile, and he or she is then automatically added to a group, the course catalog will automatically be assigned to that user without the user needing to log out and back into the platform.

User Self-Unenrollment from Webinar or ILT Sessions

If a user self-enrolls into a Webinar or ILT session from a Webinar or ILT-Classroom course within a learning plan, the user can now also unenroll him or herself, and change the session in which he or she wants to enroll.

Notification Updates

The following updates have been made to notifications in your platform:

  • You can now stylize the text for notifications, as desired.
  • You can no longer create a notification without selecting users, groups, branches, or courses.

Character Limit for Notes for Transaction Codes

There is no longer a character limit for notes that can be included for transaction codes for an individual user’s transaction report. You can reach this page by pressing the Transactions subitem in the E-Commerce section of the Admin menu. On the Transactions page, find the user in the list, then press the edit icon in the user’s row. In the pop up box, you can add your notes into the corresponding text box, then press Save Changes.

Minor Interface Improvements

You will see minor interface improvements have been implemented for notifications regarding expiring credit cards for credit card customers. You will also see new social icons throughout the platform.

New Short Code for Certificates

The news [learningplan_credit] short code has been added to certificate templates, which allows the credits to appear on a certificate when a user completes a learning plan. You can learn how to create and manage certificates here.

Tin Can Tracking for the Mobile App

For those using Docebo’s Mobile App, tests included in xAPI (Tin Can) packages are now tracked, meaning they can be marked as Not Yet Completed, In Progress or Completed.

Minor Updates to Waiting List Notifications

For the User Waiting to be Approved to a Webinar session notification and the User Waiting to be Approved to an ILT Session notification, all short codes now will display the correct information when the notification triggers. If you are sending the notification to a specific Power User profile, the notification will only be sent to the specific profile that you set.

Hosting Rights for Webex Webinar Sessions

For those using Docebo’s integration with Webex to host webinar sessions, the first Power User, Instructor or Superadmin that logs into the session will gain and maintain hosting rights of the session. If another Power User, Instructor or Superadmin log into the webinar session after the initial Power User, Instructor or Superadmin, the initial Power User, Instructor or Admin will not lose hosting rights to the webinar session.

Power User Permissions Updates

If a Power User has the permission to View Courses, but none of his or her assigned users are in a specific course, the Power User cannot access the enrollment page of said course. Instead, he or she will be redirected to the main Course Management page when trying to access the enrollment page for the course.

New Coach & Share Badges for Gamification

Coach & Share badges have been added to Docebo’s Gamification app. New badges can be automatically triggered by specific events in Coach & Share:

  • User Adds Questions. This badge is triggered when a user asks a question, either about an asset or in the Questiosn & Answers section, to an expert.
  • User Receives a Like. This badge is triggered when a user receives a like on one of his or her uploaded assets.
  • User Receives a Dislike. This badge is triggered when a user receives a dislike on one of his or her uploaded assets.
  • User Receives a Best Answer. This badge is triggered when one of the answers provided by the user is marked as a Best Answer by another user.
  • User Invites People. This badge is triggered when a user invites one or more other users to watch an asset uploaded in the LMS.
  • User Uploads Asset. This badge is triggered when a user uploads an asset into the LMS, either privately or in a channel.
  • Asset Receives View. This badge is triggered when one of the user’s published assets has been viewed by another user.
  • Asset Rated with Five Stars. This badge is triggered when one of the user’s published assets receives a five-star rating by another user.
  • Top Contributor. This badge is triggered when a user has published more assets than any other use in the LMS within a specific timeframe (daily, monthly, or yearly).
  • Asset Viewed for Longest Time. This badge is triggered when an asset published by a user is the receives is viewed for the longest duration of time (in seconds).
  • Expert Satisfies a Request. This badge is triggered when an expert answers a question from a user using an asset.
  • Expert Add Peer Review Message. This badge is triggered when an expert writes a peer review message for an asset on the asset’s main page.
  • Expert Reviewed (approved) an Asset. This badge is triggered when an expert approves (publishes) an asset in a channel that required peer review.

Creating Users with Ampersand Symbols

You can now create users that have an ampersand symbol in their email addresses.

 Updates to User Reports

The following updates have been applied to user reports:

  • If you’re generating a Course-Users custom report, you can flag the option add the Average Evaluation field to your report. This field displays the average rating from each user in the course.
  • If you flag the option to show a deactivated user in a report, all of the data selected for that user and that report will appear in the report.

Question Visualization for Test Options

If a user has started the test for which you want to configure the test options, you cannot configure the Set Questions Visualization tab. These options will be disabled.

E-Commerce Notification Update

The E-Commerce notification (E-Commerce Settings have changed) will now be triggered when any setting in any tab in the E-Commerce settings menu has changed.

Catalogs Appearing in Dashboards of Users in Groups

If a user joins a group, and said group has been assigned to a specific course catalog, the user no longer needs to log out and log into his or her Docebo LMS again before the catalog will appear in the user’s dashboard. The catalog will appear in the user’s dashboard without any additional action needed from the user.

New Knowledge Base Layout for Longer Articles

For lengthy articles in Docebo’s Knowledge Base, you now have the ability to click on the titles to see only the information that you need. By default, you will only see the section titles. You should click on the title to see the information slide out below. Please refer to the video below to see how to work this new layout.

Course Additional Fields: Editing and Deleting

Course additional fields can now be edited or deleted, as necessary.

Settings to Avoid Overbooking Classrooms for ILT Classroom Sessions

For those using Docebo’s ILT Classroom app and booking learning sessions in classrooms, you can now flag the option to prevent your Docebo LMS from creating a session in a classroom that is already booked.

Please note that this option is not active by default, so you will need to manually activate this option if you want your Docebo platform to prevent you from double booking a classroom.

To do so, access the Admin Menu, then press the Settings item in the ILT Classroom section. On the settings page, flag the option to prevent overlapping of classroom sessions, then press Save Changes.

Now, if you try to create a classroom session in a class that is already booked, your Docebo platform will not let you save the session until you either change the date, time, or location of the session.

SAML Short Code for Webinar Session Notifications

For those sending notifications about their webinar sessions, the [session_saml_link] short code can now be used within notifications.

Disabling the “Force Password Change” Option when Importing Users via CSV

If you are importing a list of users via CSV into your Docebo platform, and the list contains users that already exist in the platform, you can flag the option to ignore the “force password change” option (if the force password change column is present in your CSV file).

To flag this option, you must first upload the CSV file into your LMS. Then, when you’re matching the import schema, flag the first option in the top section to update user info. Then, the second option will no longer be greyed out, and you can flag the option to ignore force password change for existing users.

New Option when Importing Users via CSV

When you’re importing or updating users in your LMS via CSV, there is now a new option to auto assign branches to power users. This option is flagged by default, but can be unflagged if you don’t want this action to occur in your platform.

This option is available when you’re uploading new users into your platform, or updating the information or existing users. It’s also available for both manual CSV imports and for those using Docebo’s Automation App.

Global Search for the Mobile App

Global search functionality has been added to Docebo’s Mobile App.

Calculation for Maximum Number of Enrollments for an ILT or Webinar Session

If you’ve set a maximum number of seats allowed for an ILT Classroom or Webinar session, that number of seats for the session is now calculated only for users that are actually enrolled in the session. It no longer includes the number of users in the waiting list for a session.

Automatic Allocation of Seats for ILT or Webinar Courses

After introducing the ability to automatically allocate empty seats of an ILT Classroom or Webinar session to users in a session waitlist,  the logic for calculation of these empty seats has changed slightly. Now, a seat will be automatically allocated if the following actions occur in your platform:

  • Admin unenrolls an active user from the session.
  • A user self-unenrolls from the session.
  • Admin increases the maximum number of seats for the session

Updates to User Reports

A few updates have been made to different user reports in your platform:

  • The bookmark column, which was a default column in reports for Users and a Learning Object, has been removed
  • Course types will now show up in User-Course reports.

“Review It Now” Button in Coach & Share

When an Expert in Coach & Share receives a notification that he or she has a new asset to review, the Review It Now! button will redirect to the review page for the asset, instead of the interface for the end user for that specific asset.

New LDAP Filter for Importing Users

If you’re importing users via Docebo’s LDAP App, there is a new optional field on the LDAP Settings page, where Admins can specify a different username filter.

The new filter is only applied when massively importing users from LDAP. You can reach this filter by accessing the Admin Menu from the left sidebar, then pressing the Manage item in the LDAP Settings section.

Unpublishing Assets in Coach & Share

If you have uploaded an asset in a Coach & Share channel, you can now unpublish the asset, even if you aren’t the Expert of that channel.

Enrolling Deactivated users in Groups or Branches into Courses or Learning Plans

When you enroll entire groups or branches of the organizational chart into courses or learning plans, you will now only be able to enroll the active users in said groups or branches. If there are any deactivated users in these groups or branches, they will not be enrolled into the courses or learning plans.

Searching Course Catalogs by Pressing Enter

You can now press the Enter button on your keyboard, rather than needing to click on the search icon with your mouse, when you are using the search bar in a course catalog.

Unselecting Filters in a Users-Learning Object Custom Report

You can now unselect the Score and Bookmark filters when creating a custom report for users and a specific learning object.

Removing Thumbnails from Learning Objects

If you’re selected a thumbnail for a learning object, you can now remove the thumbnail. In the learning object’s row (either on a course’s Training Materials page or in the Central Learning Object Repository), press the Menu icon. From the dropdown menu, select the Edit item.

You will be redirected to the main edit page, which you configured when you first uploaded the learning object. Move to the Additional Info tab, then simply press the select thumbnail again to unselect it. Press Save Changes to complete the process.

Suspended Users Filter now includes Expired Users

If you, as the Superadmin, are using the Suspended Users filter on the main Users Management page inside your LMS, the filter will now also include expired users, as they are no longer considered active users in the LMS.

Multidomain: Login Restrictions for Users

For those using Docebo’s Multidomain app, you can now flag an option to restrict user login to only the Multidomain client to which they belong. This option can be flagged both globally (for all Multidomain clients) or locally (on a client-to-client basis).

Minor Interface Changes

  • For both users and Admins, the “Older Comments” button in forums in the platform has been re-labeled as the “Load More…” button.
  • For those using the Stripe payment gateway, you will find new interfaces during the check out process or when you’re needing to update your credit card information in the system.
  • For Admins, the User Additional Fields dropdown menu will now display additional fields in alphanumerical order, as to match what their users will see in their platforms when they fill out their profile information.
  • For Admins, when you go into the E-Learning tab of the platform’s Advanced settings menu, the iFrame whitelist section has a new interface, making browsing easier and more manageable.

Course Description and Course Link in Catalog Widget

When a user clicks on a course event in his or her catalog on the homepage of his or her platform, he or she will now see a course description and a link to access the course in the pop up box.

Give a Title to a TinCan Learning Object

When you upload a TinCan learning object into your Docebo LMS, you can also give a title to the object after the file has completely uploaded into the LMS.

After you upload the file and press Save Changes, you can press the menu icon in the learning object’s row on the main Training Materials page for the course. Then, press Edit from the dropdown menu. Add a title for the learning object into the corresponding text box, then press Save Changes again to complete the action.

You can perform both of these actions in both an individual course and the Central Learning Object Repository, depending on where you uploaded the learning object.

Security Improvements

Security improvements in the platform have been implemented to make sure that malicious code is not inserted into HTML or JavaScript text boxes.

New Dropdown Menu for a Assigning Content to Power Users

If you’re using the Power User app in your Docebo platform, you now have a quick way to assign all courses, all learning plans, or all courses and learning plans together by a new drop down menu.

When you press the content icon in the power user profile’s row on the main Power User Management page, you will be redirected to the content page for that profile. In the action bar at the top of the page, press the Assign Courses button.

In the pop up box, you can use the tabs on the left side to select specific courses, learning plans, or categories. Alternatively, you can use the dropdown menu at the top of the box to select all courses, all learning plans, or all courses and learning plans.

Selecting Users from a List

If you’re selecting users from a list by flagging the check boxes next to the usernames, you can now also select the users even if you have typed something into the search bar. For example, if you are creating a custom report for users, and you’ve typed a certain name or additional field into the search bar, you can still flag and unflag users from the list as necessary.

Notification Updates and Additions

Please note the following updates for a handful existing notifications:

  • User Enrolled in Course. This notification will not trigger when the user self-enrolls in a Webinar or ILT Classroom course, but is then placed in a waitlist for that course(either due to the maximum enrollments limit or pending payment transaction).
  • User Enrolled in ILT Session. This notification will not trigger when the user is placed on the waiting list of an ILT session.
  • User Enrolled in Webinar Session. This notification will not trigger when the user is placed on the waiting list of a Webinar session.
  • User Waiting to be Approved to a Course. This notification was previously titled User Waiting to be Subscribed to a Course. You will see the same notification with a new title.

There are also five new notifications in your platform:

  • User Waiting to be Approved to an ILT Session. This notification is triggered when a user is placed in the waitlist of an ILT Classroom session.
  • User Waiting to be Approved to a Webinar Session. This notification is triggered when a user is placed in the waitlist of a Webinar session.
  • User Approved into Webinar Session. This notification is triggered when a user is approved for a webinar session, thus being removed from the waitlist for the sessions of the webinar course.
  • User Declined from an ILT Session. This notification is only triggered when a user is rejected enrollment into an ILT Classroom session by an Admin.
  • User Declined from a Webinar Session. This notification is only triggered when a user is rejected enrollment into a Webinar session by an Admin.

New “Force Password Change” Column when Importing Users via CSV

When you’re importing users into your Docebo LMS via CSV, you have the option to flag whether you want to force your imported users to change their passwords upon the first log into their platforms.

Now, you can also add this “force password change” functionality to your CSV file when importing users, and it will override whichever option you’ve flagged in your LMS. For example, if you’ve flagged the No option in the “Require Users to Change their Passwords at the First Sign In” section, you can still force your users to change their passwords upon their first sign into the platform by configuring the option in your CSV file.

Then, when you upload the file into your LMS, you need to match the column name in the CSV file to the correct import scheme using the corresponding dropdown menu. See the video above for an example of how to perform the action.

Feedback for Tests waiting for Evaluation

For users that have submitted tests with extended text question types, they will no longer see the Not Passed feedback while waiting for the Superadmin or Instructor of the course to complete the evaluation of the test. Instead, they will see the Waiting for Final Grade feedback.

Assigning a Number of Actions to Earn a Badge

When you now create or edit a badge for which a user must perform a specific amount of actions in order to earn the badge (e.g. the learner must complete six courses or write six blog posts), you cannot leave the corresponding text box blank or write the number zero in the text box. You must assign a number in order to successfully create or edit a badge.

Slack Integration

Your Docebo LMS now integrates with the Slack messaging app, so you can send notifications to your users via Slack.

Direct Play for Video Learning Objects

You now have the option to direct play video learning objects (either uploaded into the LMS or linked from YouTube, Vimeo, or Wistia) if they are the first learning object of a course or the last learning object played in a course (if the video needs to be resumed and finished).

Remember, you need to flag the option to enable custom autoplay as well as the option to directly play the first learning object in a course in that course’s Advanced Settings menu. Please refer to the previously linked manual to learn how to do so.

Updates to Notifications

A few new updates and fixes have been released for notifications:

  • There is a new search bar for Admins on the main notification page, so they can easily find a specific notification in the list. At this time, you can only search for notifications by their short codes.
  • You can now assign short codes to newly or previously created notifications. These codes can be alpha-numerical, include symbols, and do not have any character limits. They are also searchable using the new search bar on the Notifications main page.
  • There is a new interface when creating a new notification. Please refer to the notifications manual to learn more.
  • When a user clicks on a notification in his or her notification area, you can also click on the bell and the text underneath the title in order to view the notification. You no longer have to click specifically on the title to view the notification.
  • Now, when you view a notification, the number next to the bell icon (the notification icon) at the top of your homepage will reduce for every notification that you view.

New Course Fields for Group-Course Reports

If you’re wanting to run a Group-Course report, there are four new additional fields that you can view in your report: course type, course internal ID, group name, and group description.

Automatic Allocation of Seats for Waitlisted Users

Admins can now flag the option to automatically enroll a waitlisted user when another learner self-unenrolls. This option can be flagged in the Advanced Settings of a course, and it works on both course waitlists and session waitlists for ILT Classroom and Webinar courses.

Please note that this option is disabled automatically, so you will need to enable it if you want this action to occur in your LMS. Likewise, you cannot enable this option if the course is flagged for sale (via E-Commerce) or if self-unenrollment for users is disabled in your platform.

Automatic reallocation of waitlisted users occurs in two situations:

  • If a user unenrolls him/herself from a session in an ILT or Webinar course.
  • If the Superadmin increases the max number of users for an ILT or Webinar session in a course’s Advanced Settings menu.

Please note the following prioritazation rule: If there are multiple users on the waitlist for a course or a session, priority is given to who enrolled the earliest (thus, they were on the waitlist first).

Force Integrated Salesforce Users and Contacts to Reset Password in LMS

For those using the Salesforce integration, you can now flag the option to have your users and contacts reset their passwords upon their first log into the LMS. This is highly recommended, as it will eliminate the time needed to manually change every password for every imported user.

Certifications for Learning Plans

Certificates for learning plans are now issued ONLY when a user has completed ALL of the courses within a learning plan. This also applies if a learner is only enrolled in a few, but not all, of the courses within a learning plan.

Updated ILT Session API Calls

There are two new API calls for ILT sessions in your LMS:

  • Update the status of a user enrolled in an ILT session, so that you can do it from a 3rd party tool.
  • Retrieve all ILT session enrollments and their related evaluation data, so that you can run reports inside your tool of choice.

Three New Notifications

Three new notifications, two regarding the Audit Trail reports and one regarding E-Commerce, have been introduced for Superadmins:

  • Audit Trail APP was disabled

Creating External Training Events with Date=String

When you create an External Training event, you can set the date of the event by typing a date into the corresponding text box, rather than selecting a date from the calendar.

Power User Permissions for Viewing and Editing Courses

Now, Power Users that have been given permission to view or edit specific courses will have access to said courses’ training materials pages.

Scores Rounded to Two Decimal Places

Scores for test answers are now rounded to only two decimal places after the whole number. Please note than this may affected the test scores in some SCORM packages.

Waiting Users Filter Displays Users Waiting in ILT and Webinar Courses

The Waiting Users filter on the main Courses page (from the Admin Menu) now displays users that are waiting to enroll in ILT or Webinar sessions as well as users waiting to enroll in courses.

Survey Questions in SCORM Packages

Answers to survey questions included in SCORM packages that you upload into your Docebo LMS will no longer be marked as Correct or Wrong, as survey questions in Docebo have no correct answers.

Calendar Widget Displays Correct Sessions Times for Timezone Changes

If you’re using the Calendar widget and you change the timezone of your LMS, the webinar or ILT sessions displayed in the calendar widget will be correctly displayed in the timezone that you set.

Power User and Instructor Permissions for ILT Courses

If a user is assigned as both an Instructor and a Power User for an ILT Classroom course, the Superadmin no longer needs to assign the specific permission in the Power User’s profile to allow him or her to evaluate the learners of the course. This permission will be automatically granted if the user is an Instructor.

Security Updates

A couple security updates have been added in all platforms to ensure maximum privacy and security of all customers. These include:

  • For all user fields (other than passwords), HTML codes are no longer allowed to be inserted into the fields.
  • Power Users cannot create reports on users that have not been assigned to their Power User profile. If a Power User tries to generate a report on a user that has not been assigned to their profile, an error message will appear.

Score Changes for Failed Assignments

If a user has uploaded an assignment into a course and the Superadmin marks the assignment as Failed, the score cannot be edited. However, if the user then uploads a new assigned and the Superadmin marks the assignment as Passed, then the Superadmin can edit the score as necessary.

Points Automatically Assigned for the Rewards Marketplace

For those using Docebo’s Rewards Marketplace for the Gamification app, we have fixed the issue of coins not being automatically assigned to users that have been awarded badges, either manually or automatically. Now, the points that are associated with badges will automatically be converted into coins for the user as well.

Power Users Editing Sessions Created by Other Power Users

If a Power User has the ability to edit and view sessions (either ILT Classroom or Webinar sessions) created by other Power Users, the edited session will not then be assigned to the Power User that edited it, but rather it will remain assigned to the Power User that created it.

SSO Login Button Appearing on All Pages

The SSO login button now appears on all login pages of the LMS. This includes when a user clicks on the “Subscribe” button on an external catalog, then is prompted to login using a pop up box. You will now see the SSO login button in this pop up box.

Webinar Sessions appearing in Chronological Order

Webinar sessions are now listed chronologically by date, rather than when the webinar was created, on both the Sessions Management page of the webinar course (for Superadmins and Power Users) and in the learner view (for end users).

Editing or Deleting External Training Activities

If you’ve flagged the option to allow users to add their external training activities into the LMS, they can now edit or delete their reported activities. This is true for activities that have been approved or denied, or are waiting to be approved by the Superadmin.

Four Updated Notifications

Three enrollment notifications and one other notification have been updated for clarification:

  • User Approval. This notification is triggered when a user has been approved by a Superadmin to enroll in a course. It is on the course level, not on a session level (thus, does not apply for ILT or Webinar courses).
  • User Enrolled in Webinar Session. This notification is triggered when a user has been enrolled in a specific session of a webinar course. In order to trigger this notification, the user must already be enrolled in the course.
  • User Enrolled in ILT Session. This notification is triggered when a user has been enrolled in a specific session of an ILT course. In order to trigger this notification, the user must already be enrolled in the course.
  • Webinar Sessions Starting. This notification is triggered when a user is enrolled in a webinar session that is about to begin. Now, a Power User will receive this notification if he or she is assigned to the webinar, but not enrolled into the webinar.

If you try to enroll more users than allowed for a webinar or ILT session (because the maximum number of users for that session is already achieved), you will receive an error notifying you that you cannot enroll the users.

New Power User Interface and Permissions

Power users now have the option create, view, and enroll users into Webinar and ILT Classroom sessions to which they have been assigned. You will see these new permissions on a new graphic interface for Power Users.

While the previous interface featured three tabs (Details, Permissions, and Options), there are now only two tabs: Permissions and Options. The information found in the Details tab has now been moved to the Permissions tab.

Session Start Intervals now in 15 Minute Increments

Sessions for both Webinars and ILT classroom courses can now have set start times using 15-minute increments (6:00 AM, 6:15 AM, 6:30 AM, 6:45 AM), rather than only half hour increments.

Token-Based SSO for the Mobile App

For those using Docebo’s Mobile App, the app now supports token-based SSO.

Updated Dropdown Menu for ILT Classroom Sessions

The Evaluation and Attendance sheet for an ILT session has been updated, allowing instructors to quickly view Evaluation and Attendance, or print the attendance sheet for the session directly from the learner view.

API clients can now use an endpoint to automatically remove users from an Organization Chart node. Please see below for the technical specifications.

Font Size for Subtitles

For those using subtitles for video learning objects or assets, the font size for the subtitles has been changed from 18px to 36px.

Automation Rule for Importing Users via CSV: The “Do Nothing” Option for Branches

If you’re currently uploading new users via CSV into your platform and using an Automation Rule to automate the updating process, you now have a new option in the branches dropdown menu that allows you to “do nothing.”

This means that your users will not be imported into a single branch. This is useful for those importing users via a CSV that already has a branch column designating in which branches the users will be placed.

Category Destination for PENS Learning Objects

For those using the PENS integration for Docebo, during the initial process of configuring an authoring tool with your LMS, you can now select in which category in the Central Learning Object Repository your learning objects will be placed.

Multilanguage Support for the Custom Headers

For those using Docebo’s White Label or Multidomain apps, multi-language support is now available if you flag the option to load a custom header (iframe).

Hidden Objects Not Counted towards Course Completion

Hidden learning objects are not counted towards course completion.

If you have updated a course’s content and hidden an object, this object will only count towards course completion if a user completed the object before it was hidden by the Admin. Otherwise, users that are accessing the course after you hid the object will not need to complete this object before completing the course.

Import ILT Users via CSV for Overlapping Dates in Different Sessions

There is no longer an error when you’re trying to upload a CSV file to import users into ILT sessions with overlapping dates in multiple sessions.

Randomizing vs. Shuffling Answers for Test Questions

If you have flagged the option to Randomize test questions (if allowed by question type), you will not have the ability to flag the option to Shuffle Answers when managing each individual question.

Updated ILT Session API Calls

There are two new API calls for ILT sessions in your LMS:

  • Update the status of a user enrolled in an ILT session, so that you can do it from a 3rd party tool.
  • Retrieve all ILT session enrollments and their related evaluation data, so that you can run reports inside your tool of choice.

Three New Notifications

Three new notifications, two regarding the Audit Trail reports and one regarding E-Commerce, have been introduced for Superadmins:

  • Audit Trail APP was disabled
  • Audit Trail APP was enabled
  • E-commerce settings were changed

Creating External Training Events with Date=String

When you create an External Training event, you can set the date of the event by typing a date into the corresponding text box, rather than selecting a date from the calendar.

Power User Permissions for Viewing and Editing Courses

Now, Power Users that have been given permission to view or edit specific courses will have access to said courses’ training materials pages.

Scores Rounded to Two Decimal Places

Scores for test answers are now rounded to only two decimal places after the whole number. Please note than this may affected the test scores in some SCORM packages.

Waiting Users Filter Displays Users Waiting in ILT and Webinar Courses

The Waiting Users filter on the main Courses page (from the Admin Menu) now displays users that are waiting to enroll in ILT or Webinar sessions as well as users waiting to enroll in courses.

Survey Questions in SCORM Packages

Answers to survey questions included in SCORM packages that you upload into your Docebo LMS will no longer be marked as Correct or Wrong, as survey questions in Docebo have no correct answers.

Calendar Widget Displays Correct Sessions Times for Timezone Changes

If you’re using the Calendar widget and you change the timezone of your LMS, the webinar or ILT sessions displayed in the calendar widget will be correctly displayed in the timezone that you set.

Power User and Instructor Permissions for ILT Courses

If a user is assigned as both an Instructor and a Power User for an ILT Classroom course, the Superadmin no longer needs to assign the specific permission in the Power User’s profile to allow him or her to evaluate the learners of the course. This permission will be automatically granted if the user is an Instructor.

Security Updates

A couple security updates have been added in all platforms to ensure maximum privacy and security of all customers. These include:

  • For all user fields (other than passwords), HTML codes are no longer allowed to be inserted into the fields.
  • Power Users cannot create reports on users that have not been assigned to their Power User profile. If a Power User tries to generate a report on a user that has not been assigned to their profile, an error message will appear.

Score Changes for Failed Assignments

If a user has uploaded an assignment into a course and the Superadmin marks the assignment as Failed, the score cannot be edited. However, if the user then uploads a new assigned and the Superadmin marks the assignment as Passed, then the Superadmin can edit the score as necessary.

Points Automatically Assigned for the Rewards Marketplace

For those using Docebo’s Rewards Marketplace for the Gamification app, we have fixed the issue of coins not being automatically assigned to users that have been awarded badges, either manually or automatically. Now, the points that are associated with badges will automatically be converted into coins for the user as well.

Power Users Editing Sessions Created by Other Power Users

If a Power User has the ability to edit and view sessions (either ILT Classroom or Webinar sessions) created by other Power Users, the edited session will not then be assigned to the Power User that edited it, but rather it will remain assigned to the Power User that created it.

Cannot Create Multiple Domains with the Same Name

For those using Docebo’s Multidomain capabilities, you can no longer create two client domains with the same name. However, you assign more than one branch/node in your LMS to the same client.

SSO Login Button Appearing on All Pages

The SSO login button now appears on all login pages of the LMS. This includes when a user clicks on the “Subscribe” button on an external catalog, then is prompted to login using a pop up box. You will now see the SSO login button in this pop up box.

Webinar Sessions appearing in Chronological Order

Webinar sessions are now listed chronologically by date, rather than when the webinar was created, on both the Sessions Management page of the webinar course (for Superadmins and Power Users) and in the learner view (for end users).

Editing or Deleting External Training Activities

If you’ve flagged the option to allow users to add their external training activities into the LMS, they can now edit or delete their reported activities. This is true for activities that have been approved or denied, or are waiting to be approved by the Superadmin.

Four Updated Notifications

Three enrollment notifications and one other notification have been updated for clarification:

  • User Approval. This notification is triggered when a user has been approved by a Superadmin to enroll in a course. It is on the course level, not on a session level (thus, does not apply for ILT or Webinar courses).
  • User Enrolled in Webinar Session. This notification is triggered when a user has been enrolled in a specific session of a webinar course. In order to trigger this notification, the user must already be enrolled in the course.
  • User Enrolled in ILT Session. This notification is triggered when a user has been enrolled in a specific session of an ILT course. In order to trigger this notification, the user must already be enrolled in the course.
  • Webinar Sessions Starting. This notification is triggered when a user is enrolled in a webinar session that is about to begin. Now, a Power User will receive this notification if he or she is assigned to the webinar, but not enrolled into the webinar.

Close Button after Assigning Users to Branches

After you have assigned users to branches, the action’s progress bar will display 100%, noting the completion of the action. Now, you will also see a Close button, allowing you to close the action and continue navigating your platform.

Saving Maximum Test Scores

For those configuring the Score Management options for tests, you can now save max test scores greater than 1,000.

Error Message for Enrolling Users into Webinar or ILT Sessions

If you try to enroll more users than allowed for a webinar or ILT session (because the maximum number of users for that session is already achieved), you will receive an error notifying you that you cannot enroll the users.

If you try to submit the action again, a “Select Users” error will appear.

New Power User Interface and Permissions

Power users now have the option create, view, and enroll users into Webinar and ILT Classroom sessions to which they have been assigned. You will see these new permissions on a new graphic interface for Power Users.

While the previous interface featured three tabs (Details, Permissions, and Options), there are now only two tabs: Permissions and Options. The information found in the Details tab has now been moved to the Permissions tab.

Session Start Intervals now in 15 Minute Increments

Sessions for both Webinars and ILT classroom courses can now have set start times using 15-minute increments (6:00 AM, 6:15 AM, 6:30 AM, 6:45 AM), rather than only half hour increments.

Token-Based SSO for the Mobile App

For those using Docebo’s Mobile App, the app now supports token-based SSO.

Updated Dropdown Menu for ILT Classroom Sessions

The Evaluation and Attendance sheet for an ILT session has been updated, allowing instructors to quickly view Evaluation and Attendance, or print the attendance sheet for the session directly from the learner view.

New API Endpoint: Remove User from Branch

API clients can now use an endpoint to automatically remove users from an Organization Chart node. Please see below for the technical specifications.

  • Name: orgchart/unassignUsersFromNode
  • Input Parameters:
    • id_org (integer, required): internal ID of the orgchart branch
    • user_ids (string, required): comma separated list of user ids to unassign.
  • Output Parameters:
    • unassigned_users (string, required): comma separated list of users ids successfully unassigned

Font Size for Subtitles

For those using subtitles for video learning objects or assets, the font size for the subtitles has been changed from 18px to 36px.

Automation Rule for Importing Users via CSV: The “Do Nothing” Option for Branches

If you’re currently uploading new users via CSV into your platform and using an Automation Rule to automate the updating process, you now have a new option in the branches dropdown menu that allows you to “do nothing.”

This means that your users will not be imported into a single branch. This is useful for those importing users via a CSV that already has a branch column designating in which branches the users will be placed.

New Audit Trail Event: User Waiting to be Approved in Platform Subscription

A new audit trail event has been added to the list of possibilities for audit trail reports.

Admins can now generate a report with data regarding users that have self-registered into the LMS and confirmed their email addresses, but are still waiting for admin approval to complete the subscription process.

Category Destination for PENS Learning Objects

For those using the PENS integration for Docebo, during the initial process of configuring an authoring tool with your LMS, you can now select in which category in the Central Learning Object Repository your learning objects will be placed.

In the Add Application pop up box, select a category from the corresponding drop down menu.

The integration between Docebo and Shopify has been updated on the Shopify side when you’re connecting your Shopify store with your LMS.

Filtering Archived and Unarchived Questions in the Question Bank

You can now choose the option to view only archived questions, unarchived questions, or both when viewing the list of questions in the Question Bank.

To do so, flag the corresponding check boxes at the top of the questions list.
